Ecommerce inventory management for marketplace sellers

How to control stock, prevent overselling, create reorder alerts and use order/return files or APIs to keep inventory accurate.

Why inventory breaks in marketplace selling

Inventory usually breaks when orders, returns, RTO, manual stock counts and marketplace files are handled separately. A seller may think stock is available while a fast-moving SKU is already close to zero.

What good inventory control needs

  • Current stock per SKU and listing
  • Sales velocity from recent orders
  • Reorder point and buffer days
  • Oversold and out-of-stock alerts
  • Manual stock correction with audit history
  • CSV template for selected products
  • API sync when marketplace credentials are approved

How files and APIs should work together

Import files can update stock from official reports and manual counts. APIs can later pull or push inventory where the marketplace permits it. A hybrid system should keep both paths connected to the same stock ledger so the seller does not lose history.

Action checklist

  • Search and select the exact SKUs before bulk update.
  • Use set stock after physical count, add stock after supplier receipt and remove stock for damaged or missing units.
  • Keep discontinued products hidden from active inventory but visible in back-date reports.
  • Review low stock and oversold alerts before accepting more orders.
